Terms of Hire & Disclaimer for the use of Soft play equipment

Any person or organisation hiring our soft play equipment is responsible and liable for any damage or injuries occurring from, or as a result of misuse. These guidelines are for the safety of all persons using the soft play equipment, and it is the sole responsibility of the hirer to ensure that they are adhered to. Grumpy Fox events cannot accept responsibility for any damage or injury to anyone using the equipment howsoever caused. Persons using our soft play equipment do so at their own risk. Adult supervision at all times.

1. Hire terms

Before booking:

  • Make sure you have FLAT GROUND for the designated area. Slopes or uneven surface will jeopardize our ability to safely set up and could result in us having to cancel your booking.

  • Ensure sure that you have sufficient space for the chosen package. Grumpy Fox cannot be held responsible for not being able to set up if the space is not sufficient to do so.

  • Ensure there is an electricity supply within 10 metres of the designated soft play set up if the hirer is hiring a bouncy castle.

  • Bookings are confirmed once we have received both a completed booking form, signed terms of hire and the security deposit.

  • We require a non-refundable deposit of £100 to secure your booking. The final balance is payable at least 14 days before the date of your party/event. If the final balance is not paid 14 days before the event we reserve the right to cancel your booking and no refund will be given.

  • If we need to cancel your booking due to non payment of the deposit or final balance, no refund will be given.
    The security deposit will be refunded once we have inspected our soft play equipment and are satisfied that it is not dirty or damaged, usually within 48 hours after the event. In the event that there are damages to our equipment the hirer is liable for full repair/ replacement fee and / or cleaning costs.

  • Cleaning costs start at £50. This will be deducted from the security deposit. If the damages total more than the security deposit we will invoice you for the difference which must be settled in full immediately.

2. Cancellation policy

  • If you have paid in full and need to cancel before 14 days we will refund you minus the £100 deposit paid.

  • If you cancel your booking within 14 days of the event no refund will be given. No refund can be given for personalised/bespoke extras ordered such as vinyls and signage.

  • If you need to change the date of your event before 14 days of your booking we will discuss alternative dates and your deposit will be used for the new date.

  • We cannot change the date of your event within 14 days of the booking. In the unfortunate event that we need to cancel your booking we will refund your booking in full.

  • If we need to cancel your booking due to inadequate space, parking restrictions, lack of permissions or permits that means your party cannot go ahead, you will forfeit your right to a refund of any monies paid.

  • We reserve the right to cancel your booking without notice if there is a breach of these conditions. A breach of conditions forfeits the right to a refund of any monies paid.

3. Setting up and Safety

  • The hirer is required to ensure that the area is empty and ready for our staff to set up and pack up our equipment.

  • Ensure all children exit the play area at the specified end time of the event.

  • Equipment is set up with the safety of children as paramount so under no circumstances must any equipment be moved.

  • We will not accept liability for accidents, injury or damage during the period of hire if this has occurred. Photographs of the area are taken once set up is complete.

  • The soft play sets are strictly for the use of children under the age of 5 years old only. No pushing or somersaults on the bouncy castle at any time as this may result in injury for which Grumpy Fox is not liable.

  • The bouncy castle generator is strictly for the set up and use of Grumpy Fox staff and under no circumstances must the equipment be moved, operated or tampered with by any other party once it is in place and in use.

  • Keep children away from this area at all times. Should it need to be switched off in an emergency ONLY and in the absence of a Grumpy Fox member of staff the hirer agrees to ensure that NO CHILDREN or other persons are on or within 2 metres of the bouncy castle or generator.

  • Adults are not permitted to sit or lean on the walls of the ball pit at any time.

  • Strictly no food, drink or chewing gum is permitted in or near the soft play equipment as they are a choke hazard.

  • No glasses or glass bottles are permitted anywhere in or near to the soft play area.

  • Strictly no shoes at any time. Shoes must be removed at the entrance of the soft play.
    Adults entering the soft play area MUST remove their shoes, particularily heels as any damage caused will result in the hirer being charged for the replacement or repair. For hygiene reasons socks MUST be worn at all times while using the soft play.

  • The hirer must ensure that all sharp objects, including but not limited to:
    Badges, spectacles, earrings, jewellery etc are removed prior to entering the soft play area to ensure it remains undamaged from tears and scratches. If damage does occur as a result of a sharp object the hirer will incur a replacement charge. As our equipment is bespoke made outside of the United Kingdom replacement costs include full replacement  costs of the damaged items as well as all shipping , taxes and duty charges incurred by Grumpy Fox Events. 

  • Strictly no party poppers , face paints , confetti, coloured streamers or silly string to be used in or around the soft play area as it causes damage and staining. If staining occurs the hirer is liable for the cost of cleaning or replacement.

  • Always ensure that there is no overcrowding on the soft play equipment. A maximum of 12-15 children are permitted at any one time depending on the size of area.

  • No smoking ,barbeques or fires of any kind is permitted near the soft play area. No pets or animals are permitted in the soft play area at any time.

  • The hirer is responsible for the safe keeping of the soft play equipment while in place. You will be charged for theft or any damage to the equipment. Any missing items will be charged for in full for the replacement thereof.

  • No furniture or chairs to be placed on the soft play mats as this may cause damage for which the hirer will be liable.

  • No items including soft play blocks, rockers , soft play balls or hoppers to be removed from the soft play area at any time .

  • Only Grumpy Fox staff are authorised to collect our equipment. Under no circumstances should any of the equipment be handed over to anyone else without our prior authorization. Please ensure that you take all reasonable precautions to protect the equipment from damage.

4. Weather

  • We cannot set up if it rains or is going to rain at it deems the softplay unsafe. In the event of rain the hirer is required to have an inside space alternative or suitable undercover space provided. If the party needs to be cancelled due to rain and no alternative setup space or a suitable covered area is provided no refund will be given.

  • In the event of rain ALL soft play equipment must be covered until collection is made.

    MOST importantly please ensure that you take all precautions to protect the children from harm and injury.
